Committee roles

The Linwood Community Toy Library is run by a committee of volunteers. The committee has overall responsibility for the library and the standard and quality of toys and service provided.

The committee:

  • Meets about four times a year to share decisions about running of library
  • Supports all fundraising ventures
  • Make joint decisions on toy purchases
  • Work regularly at library on a roster basis

Chairperson

  • The chairperson is the principal co-ordinator and has overall responsibility for the running of the toy library.
  • The chair is responsible for the management of the toy library, and must be informed of all library activities
  • Manage and chair meetings and the AGM

Secretary

  • Arranges the meeting place for committee meetings, send notices and take minutes at each meeting
  • Responsible for the filing and maintenance of all records - constitution, certificate of incorporation, lease agreement on the rooms, and insurance policies.
  • Records all inward and outward correspondence and file methodically. To acknowledge each letter promptly.
  • Keeps a copy of all outward correspondence, and is responsible for the archives.
  • Holds master copies of membership lists etc.

Treasurer

  • Ensures money received is banked promptly.
  • Maintains accurate records of current income and expenditure.
  • Prepares and presents monthly accounts for payment, for approval by the committee
  • Prepares budgets for the upcoming year and prepare financial statements for auditing.
  • One of the signatories for all toy library cheques.
  • Manages any investments.

Toy Buyer/Cataloguing Officer

  • Responsible for ordering and preparing toys for issue.
  • Liaises with TLFNZ Toy Buyer for information and advice to select and order toys
  • Receives delivery of toys, and check against records
  • Marks each toy with the library’s initials and a catalogue number
  • Each toy's number is registered on a master card and an issue card, with the name of the toy, number of pieces, etc.
  • All this information plus where purchased, retail price, etc. is recorded in the toy register and on the master cards.

Repairs Officer

  • The repairs officer mends and replaces toys, to ensure they are in the best condition to be hired.
  • Arrange repairs of toys, when necessary to source replacement pieces.
  • Hold broken, lost, or damaged toys
  • Hold lists of people prepared to repair, (contact the TLFNZ for spare parts).
  • Have discretionary power as to whether toys with missing pieces can be reissued. If toys are damaged too badly, can suggest whether toy should be replaced

Funding/Grants Officer

  • Apply for grants from charities and other organisations
  • Research out new sources
  • Organises local fundraising (LCTL runs at least two raffles a year, plus a sausage sizzle at Mitre 10)

Promotions Officer

  • Ensures that the toy library is promoted in the community.
  • Keep records of clippings, events etc.
  • Books advertising in newspapers and writes news releases
  • Writes newsletters
  • Make sure events are promoted and advertised
  • Prepare and distribute brochures and flyers

Membership Officer

  • Deal with new members applications, issue library cards
  • Organise volunteer rosters
  • Remind people that they are on duty a few days beforehand
